Managing Phone Numbers
Learn how to view, organize, assign, and manage your Voka AI phone numbers efficiently.
Phone Numbers Dashboard
Your Phone Numbers dashboard is your central hub for managing all phone numbers associated with your Voka AI account.
Accessing Your Numbers
- Log in to voice.vokaai.com
- Click Phone Numbers in the left sidebar
- View your complete list of numbers

Understanding Your Phone Number List
Each phone number in your list displays important information:
Number Information
Phone Number
- Full number with country code (e.g., +1 555-123-4567)
- Click to copy to clipboard
Status
- 🟢 Active - Number is working and can receive calls
- 🟡 Pending - Number is being provisioned (usually takes 1-5 minutes)
- 🔴 Suspended - Number is temporarily deactivated
- ⚪ Released - Number has been released back to the carrier
Type
- Local - Standard local phone number
- Toll-Free - 1-800, 1-888, or similar
- National - National number
- Mobile - Mobile format number
Country
- Shows country/region (e.g., United States, Canada, United Kingdom)
Monthly Cost
- How much this number costs per month
- Separate from call usage charges
Tags (optional)
- Custom labels you can add
- Examples: "Main Line", "Sales", "After Hours", "Location A"
Assigned To
- Shows which AI assistant (if any) is using this number
- Or "Unassigned" if not currently in use
Purchase Date
- When you acquired this number
Actions
- Buttons to manage each number
Organizing Your Numbers
Adding Tags
Tags help you organize and identify numbers quickly.
To add tags:
- Find the number in your list
- Click in the Tags field
- Type a tag name (e.g., "Main Office")
- Press Enter to add
- Add multiple tags as needed
Suggested tags:
- By department:
Sales,Support,Billing - By location:
NYC Office,LA Branch,Remote - By purpose:
Main Line,After Hours,Emergency - By campaign:
Summer Promo,Google Ads,Website - By status:
Testing,Live,Backup
Tags often appear in different colors to make them easier to distinguish at a glance.
Filtering and Searching
Find specific numbers quickly:
Search by number:
- Type digits into the search box
- Partial matches work (e.g., "555" finds all numbers containing 555)
Filter by status:
- Click status filter dropdown
- Select: Active, Pending, Suspended, or All
Filter by type:
- Click type filter
- Select: Local, Toll-Free, National, Mobile, or All
Filter by assignment:
- Show only assigned numbers
- Show only unassigned numbers
- Show all
Assigning Numbers to Assistants
Phone numbers must be assigned to AI assistants to work.
Method 1: From Phone Numbers Page
- Find the number you want to assign
- Click "Assign to Assistant" button
- Select an assistant from the dropdown
- Click "Assign"
- Number now shows as assigned

Status: 🔴 Not started
Method 2: From Assistant Settings
- Go to AI Assistants
- Click on an assistant to edit
- Go to the Calling tab
- Click "Assign Numbers"
- Select numbers from your available list
- Click "Save"
Most users find it easier to assign numbers while setting up their assistant in the Calling tab.
Assigning Multiple Numbers
You can assign multiple numbers to ONE assistant:
Use cases:
- Different numbers for different marketing campaigns (track which campaigns drive calls)
- Regional numbers all routing to same assistant
- Toll-free AND local options for customers
- Backup numbers
To assign multiple:
- Edit your assistant
- Go to Calling tab
- Select multiple numbers
- All selected numbers will ring to this assistant
Unassigning Numbers
To remove a number from an assistant:
Method 1: From Phone Numbers page
- Find the assigned number
- Click "Unassign" button
- Confirm
Method 2: From Assistant Calling tab
- Edit the assistant
- Go to Calling tab
- Click the X next to the number
- Save
What happens:
- Number becomes "Unassigned"
- Number stops ringing to that assistant
- Number is still active and you still pay for it
- You can assign it to a different assistant
Syncing Phone Numbers
Sometimes numbers need to be synced with the system.
When to Sync
Sync your numbers when:
- Numbers show incorrect status
- Recently purchased number doesn't appear
- Assignment changes aren't reflecting
- After bulk operations
How to Sync
- Go to Phone Numbers page
- Click "Sync Numbers" button (usually top-right)
- Wait a few seconds
- List refreshes with current data
Most of the time, sync happens automatically. Manual sync is rarely needed.
Releasing Phone Numbers
Release numbers you no longer need to stop paying monthly fees.
Before You Release
⚠️ Important checks:
- Is this number being used anywhere? (website, business cards, ads)
- Is it currently assigned to an assistant?
- Are customers calling this number?
- Do you have call forwarding set up to this number?
- Is this number part of your marketing?
Once released, the number is permanently gone. You cannot get the same number back. It becomes available for other customers to purchase.
How to Release a Number
- Go to Phone Numbers
- Find the number to release
- Click the trash icon (🗑️) or "Release" button
- Read the warning carefully
- Type the number to confirm (if required)
- Click "Release Number"
What happens:
- You stop being charged monthly fees
- Number is immediately deactivated
- Calls to that number will no longer work
- Number is removed from your account
Understanding Phone Number Status
Active
- ✅ Number is working normally
- ✅ Can receive calls and SMS
- ✅ Assigned and ready to use
- ✅ You're being charged monthly fee
What to do: Nothing, number is working as expected.
Pending
- 🟡 Number is being activated
- 🟡 Typically takes 1-5 minutes
- 🟡 Cannot receive calls yet
What to do: Wait a few minutes and refresh. If it stays pending for more than 10 minutes, contact support.
Suspended
- 🔴 Number is temporarily deactivated
- 🔴 Cannot receive calls or SMS
- 🔴 Usually due to billing issue
Common causes:
- Payment method declined
- Account suspended
- Compliance issue
- Administrative hold
What to do:
- Check Billing for payment issues
- Review any emails from Voka AI
- Contact support if unclear
Released
- ⚪ Number has been released
- ⚪ No longer yours
- ⚪ Only shows in history
What to do: Number is gone. Purchase a new one if needed.
Managing Costs
Viewing Monthly Costs
Per number:
- Each number shows its monthly cost in the list
- This is separate from usage charges
Total monthly cost:
- Go to Phone Numbers
- Look for total monthly cost summary (usually at top)
- Or add up individual number costs
Annual cost estimate:
- Monthly cost × 12 = annual phone number fees

Reducing Phone Number Costs
Strategies to save:

- Toll-free is only needed for national businesses

Number Porting
Porting brings your existing business number TO Voka AI.
What is Number Porting?
Instead of:
- Old number → (forward) → Voka AI number
Porting gives you:
- Old number IS your Voka AI number (no forwarding!)
Benefits:
- Keep your established business number
- No call forwarding fees
- Customers use the same number they always have
- Simplifies your setup

Best Practices
Organization
✅ Do:
- Use descriptive tags for all numbers
- Document what each number is for
- Keep unassigned numbers to a minimum
- Review your number list monthly
❌ Don't:
- Buy numbers "just in case" without a plan
- Leave numbers unassigned indefinitely
- Forget to release numbers you're not using
Assignment
✅ Do:
- Test numbers immediately after assignment
- Document which numbers are assigned where
- Keep a backup number available
- Assign multiple numbers to assistants for redundancy
❌ Don't:
- Assign the same number to multiple assistants
- Leave production numbers unassigned
- Forget to test after making changes
Cost Management
✅ Do:
- Audit monthly for unused numbers
- Release numbers you're not using
- Choose appropriate number types for your needs
- Consider porting to reduce forwarding costs
❌ Don't:
- Pay for numbers you don't need
- Keep "expired" campaign numbers indefinitely
- Ignore the monthly costs
Troubleshooting
"I can't find my recently purchased number"
Solutions:
- Click "Sync Numbers" button
- Refresh the page
- Check All in status filter (might be showing as Pending)
- Wait 5 minutes (activation time)
- Contact support if still missing
"Number shows as assigned but calls aren't working"
Check:

Is the assistant active?
- Go to AI Assistants
- Verify assistant status is Active

Is the number really assigned?
- Edit the assistant → Calling tab
- Verify number appears in assigned list

Make a test call
- Call the number
- Check if it rings

Review call logs
- Go to Analytics → Calls
- See if call attempts are showing up
If still not working: Contact support
"I assigned the number but it's still showing as unassigned"
Solutions:
- Refresh the page
- Click "Sync Numbers"
- Check the assistant's Calling tab (might be a display issue on numbers page)
- Try reassigning:
- Unassign the number
- Wait 30 seconds
- Assign it again
- Save
"Can't release a number - button is grayed out"
Possible reasons:
- Number is assigned - Unassign it first
- Pending action - Wait for current operation to complete
- System restriction - Certain numbers may have porting or compliance holds
Fix:
- Unassign the number from any assistants
- Wait for pending operations to complete
- Contact support if button remains disabled
"Number is suspended - how do I reactivate?"
Check:

Go to Billing
- Verify payment method is valid
- Check for failed payment attempts

Check your email
- Look for suspension notices from Voka AI
- Follow any instructions provided

Review compliance
- Some numbers require identity verification
- Check if you need to submit documentation

- If payment is current but number still suspended

Bulk Operations
Managing Multiple Numbers
If you have many numbers, use these strategies:
Export your number list:
- Look for "Export" button (if available)
- Download CSV with all number details
- Use for record-keeping or audits
Bulk tagging:
- Select multiple numbers (if feature available)
- Apply tags to all selected
- Saves time vs. one-by-one
Filtering before actions:
- Filter to show only unassigned numbers
- Bulk release if appropriate
- Or bulk assign to a catch-all assistant
Advanced Use Cases
Tracking Marketing Campaigns
Use separate numbers to track campaign effectiveness:
Example setup:
- Number A tagged
Google Ads→ Track Google ad performance - Number B tagged
Facebook Ads→ Track Facebook performance - Number C tagged
Billboard→ Track offline marketing
All assigned to same assistant, but you can see in analytics which number gets more calls.
Analytics breakdown:
- Go to Analytics → Calls
- Filter by phone number
- Compare call volume across campaigns
- Determine ROI per marketing channel
Geographic Routing
Scenario: Multi-location business with regional numbers
Setup:
- NYC local number → NYC assistant (with NYC hours, NYC staff transfers)
- LA local number → LA assistant (with LA hours, LA staff transfers)
- Toll-free number → General assistant (routes based on time zone)
Seasonal Numbers
Scenario: Tax preparation business
Off-season (May-December):
- Main number active, assigned to assistant
- Overflow number released (save monthly fees)
Busy season (January-April):
- Main number active
- Purchase additional overflow numbers
- Assign all to assistant for high call volume
After tax season:
- Release overflow numbers
- Keep only main number
Phone Number Limits
Default Limits by Plan
Check your plan for specific limits. Typical limits:
- Starter: Up to 5 phone numbers
- Professional: Up to 20 phone numbers
- Business: Up to 100 phone numbers
- Enterprise: Custom limits

Requesting Higher Limits
If you need more numbers than your plan allows:
- Contact support
- Explain your use case
- We can increase your limit or recommend a plan upgrade
